ABOUT THE ROLE:

This is a 6 month contract role that could be extended or lead to other opportunities within Subaru or Inchcape.

This newly created role, works with the Project Manager – Recalls and others in the company to ensure the successful implementation of the Takata Airbag Recall.

The Coordinator’s primary responsibilities are to support the Project Manager in the delivery of the Takata Recall Project and to help increase the completion rates of the Recall.

This role will also collaborate with other departments (such as Warranty, CRT and the service and parts operation) in the organisation.

One of the most critical roles of the Recall Project Coordinator will be the ongoing management of the Recall Schedule and managing smaller sub-set Projects as directed by the Project Manager.

SPECIFIC KEY PERFORMANCE INDICATORS INCLUDE:

Project Management

  • Coordinate project management activities, resources, equipment and information
  • Break projects into doable actions and set timeframes
  • Assign tasks to internal teams and assist with schedule management
  • Monitor project progress and handle any issues that arise
  • Act as the point of contact and communicate project status to all participants
  • Work with the Project Manager to eliminate blockers
  • Create and maintain comprehensive project documentation, plans and reports
  • Ensure standards and requirements are met through conducting quality assurance tests

Customer Management

  • Relationship management of internal and external customer at all levels including suppliers
  • Provide feedback to the Project Manager – Recalls on customer feedback and/or escalated issues to avoid external customer dissatisfaction
  • Spend time with key stakeholders across the business to maintain group alignment and enable positive feedback/concerns to be raised

Admin duties

  • Preparing weekly and monthly reports for key stakeholders on Recall completion rates and effectiveness of customer communications
  • Typing up of Recall Working Group meeting minutes and distributing to delegates

 

EXPERIENCE REQUIRED:

  • Proven work experience as a Project Coordinator or similar role
  • Experience in project management, from conception to delivery
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Computer literate (refer Excel and SAP system)
